We are looking for an experienced HRIS Project Manager / HR Systems SME to support an upcoming HR technology implementation currently in the discovery stage.
The successful candidate will act as the key bridge between the organisation, market HR leaders, and the HR system implementation partner. This role requires someone who can represent the business effectively, structure requirements, support decision-making, and ensure the implementation is set up for successful delivery.
Experience with Darwinbox is highly preferred. Candidates with strong HRIS implementation experience across similar cloud-based HR platforms will also be considered.
Key Responsibilities:
- Act as the organisation’s primary representative in discussions with the HR system implementation partner and vendor teams.
- Partner closely with market HR leaders to understand business needs, current HR processes, local requirements, and implementation priorities.
- Support the discovery phase by helping gather, clarify, and document HR requirements across relevant markets and business units.
- Translate business and HR process requirements into clear input for the implementation team.
- Facilitate workshops, project meetings, stakeholder discussions, and decision-making sessions.
- Coordinate with internal HR stakeholders to ensure requirements are aligned, validated, and appropriately prioritised.
- Help define the implementation roadmap, project governance, milestones, risks, dependencies, and key deliverables.
- Support the transition from discovery into design, configuration, testing, deployment, and eventual support phases.
- Coordinate user acceptance testing activities, issue tracking, feedback consolidation, and resolution follow-up when the project reaches testing stage.
- Work with stakeholders to prepare for change management, communications, training, and adoption activities.
- Coordinate training and knowledge transfer for a future internal hire who will take ownership during the support phase.
- Ensure documentation, decisions, and process knowledge are captured clearly to support future internal ownership.
- Provide regular updates to senior stakeholders on project status, risks, issues, and required decisions.
Required Experience:
- Proven experience as an HRIS Project Manager, HR Systems Implementation Lead, HR Technology Consultant, or HR Systems SME.
- Strong understanding of HR systems, HR processes, and HR technology implementation lifecycles.
- Experience supporting HRIS projects from discovery and requirements gathering through to implementation and post-go-live support.
- Ability to engage confidently with HR leaders, business stakeholders, implementation partners, and vendor teams.
- Strong project management skills, including planning, governance, RAID management, timeline tracking, and stakeholder reporting.
- Experience gathering, documenting, and validating business and functional requirements.
- Strong facilitation skills, with the ability to run workshops and align stakeholders across multiple markets or business units.
- Excellent communication, organisation, and stakeholder management skills.
- Ability to join at an early discovery stage and help bring structure, clarity, and momentum to the project.
Preferred Experience:
- Hands-on experience with Darwinbox implementation projects.
- Experience with other cloud-based HR systems such as Workday, SAP SuccessFactors, Oracle HCM, UKG, BambooHR, or similar platforms.
- Regional or multi-market HRIS implementation experience, ideally across APAC.
- Experience supporting HR transformation, HR operations, shared services, payroll, leave, attendance, employee lifecycle, performance management, or core HR modules.
- Prior consulting, client-facing, or implementation partner management experience.
- Experience coordinating knowledge transfer, training, or transition activities for internal support teams.
Ideal Candidate:
The ideal candidate is a structured and hands-on HR technology professional who can operate at both strategic and operational levels. They should be comfortable representing the business in front of implementation partners, while also being detail-oriented enough to capture requirements, manage follow-ups, track risks, and ensure decisions are documented.
This person should understand how HR teams operate across different markets and be able to translate business needs into practical system and process requirements.
